This small business database has been designed for a software developer, tech support, online e-commerce and regional sales company.
It has also been modified for landscaping, lawn maintenance, plumbing, pest control,
apartment locator and irrigation business.
The Microsoft Access database contains a customer form that can be searched by any field in the
table, including custom marketing groups. You can also search for any string in logs and invoices
by customer or all customers. The client balance is shown on the Contact page for either
invoiced or uninvoiced work.
You can easily track mileage by entering the word Onsite into an invoice detail line.
There are links to websites, Google maps and directions.
The searchable general ledger tracks your expenses by accounts that you set up and
interfaces with an inventory module. You can search invoice details. Payroll calculates tax
witholding for monthly, quarterly and
annual reports. From the GL form, you can print checks and create deposits.
Reports include Invoice, Balance Sheet, Accounts Receivable, payments collected,
Sales tax summary, Profit and Loss, monthly and quarterly tax withholding,
Bank Statement Reconciliation, Cost of Goods Sold (COGS), and Income by Client
or Employee. There are queries for hours worked by day, week, month and year, sales by year and hours and sales for year to date compared to previous years. You can accept partial invoice
payments or apply a payment to multiple invoices.
The program has been used in various forms by several companies in Dallas, Allen, Plano,
Frisco, McKinney, Garland, Rowlett and Flower Mound, Texas.

Each record is timestamped and the user making the change is noted.
This custom Microsoft access application features secure login with AES256 password
hashing and encryption of data tables.
The Main menu shows the version number of the database. Click on the version number to see where tables
are linked and other troubleshooting and contact information.
 
Alt-Z from the main menu lets a super user make
programmed table structure changes without having a developer log onto their network. Only one user has
to make these changes. Other users should be out of the database when table structure changes are being made.
You can force all users out of the database within 3 minutes with a message from the Setup form.
To install, map the path to the shared data, copy two files and open one of them to create
a desktop shortcut. To customize the shortcut to a specific user, right-click and
select Properties. Change user in the far right of the Target to the user's userid.
You may need to enable macros if you get
macro security warnings.
 
Updates are normally distributed by sending a link to you via email with a summary of the changes.
Follow the link and unzip the file onto your server in the same folder where your data tables are located.
Double click on the database to create a shortcut. A super user should then run the new version on the server.
Answer Yes when asked if you want to tell others the new version is available. When other users log into
the database, they will be offered the new version. If they answer Yes, the database will close and they
can reopen the database in about 20 seconds when the copy operation is complete.
